A Lot Like Digital Lego
We loved working with it. It was such a great tool to use. However, we did in the end switch away to a more traditional PM system, just because the setup and structuring was a little bit of overkill for what we needed as we grew.
Pros
Podio is this fantastic gem that you don't see in other project management, task management or workflow management systems. It's quite literally limitless. You can create unique systems and flows for your own needs without a ton of tech-knowledge (but you certainly need some). It's a really neat way to create the EXACT workflow and data management pieces that you're looking for.
Cons
Podio is not simple to set up or implement. It takes time, planning and a decent amount of tech understanding. You don't need to know how to program, but it's certainly not for the faint of heart with the setup. However once you get it - it's very cool. I honestly don't have too much more that's negative to say about it.

It's easy to use and customise workflow to fit any business need.
Pros
Customising apps, creating workflow, and implementation roll out are all easy and user friendly. Our team have quickly familiarised the user interface and functionalities.

Podio is a BEAST!
My overall experience with Podio is great. I started with Podio while running a real estate investment company. I now utilized it with my roofing company as well. The advanced automations with globiflow make it a force to be recon with in the CRM space.
Pros
The ability to customize Podio in order for it to help scale your business is what I like most about Podio. All of the latest integrations are keeping Podio at the top of the list for CRMs.
Cons
There are very few times it occurs, but when the site/status goes down during the middle of the work day it can wreck havoc on a business that relies on it heavily. Over the last 6 years I have only had it affect me 3-4 times.

Good- but look at the total price.
I liked Podio, and if you don't need a lot of bells and whistles the basic version may be ideal for you.
Pros
I really liked how Podio integrated with Google Drive and Dropbox. it made it super easy to share files. I think it's one of the more intuitive platforms for users.
Cons
It's NOT that intuitive for those setting up the tasks and workflows. It may take them awhile to get things working the way you want, and if you only have one person managing the team, and they leave, you may be in dire straits if you need to make changes. I also thought Podio became more expensive quickly. the basic version is affordable but every additional feature costs more and then you are paying A LOT. And considering all the time for set-up, you may be hesitant to leave. I needed a better tracking and reporting system than what I could get from Podio, and price was getting high, so I switched

Used to be good now is outdated and poor customer service
I went from love to dissappointment. For many years it served us to organize the workflows of the company but gradually it was left behind and today it is an outdated and expensive platform. In addition, the customer service is really disappointing.
Pros
It's good for working with databases and relations among them. We used to have our complete ERP built in Podio.
Cons
- Podio used to be a good alternative when workspaces were customizable and external users could interact with the platform easily. However, this changed unilaterally and without notice, rendering most applications useless.
- Compared to platforms like Notion, Podio's system and infrastructure are perceived as outdated and difficult to configure.
- The customer service is poor, with delayed responses and a lack of empathy towards the customers.
- It is more expensive than more powerful and customizable platforms.

I have had a good experience with Podio. It has helped me manage my database for several years.

It took me a few hours to learn how to use Podio, but other than that, there are few things that I dislike about Podio.

Great Resource for Businesses
Podio is our main project management source and we love it! It allows us to assign project managers to projects, tag team members that need the information, others to add information they have gathered, copy emails directly to Podio, assign tasks, and so much more. I would highly recommend Podio for any type of business and think it is a great tool that is easy to use.
Pros
What I like most about Podio is the organization of project management. It helps to keep track of current information, copying emails directly to Podio, tagging team members, and organizing the project with information that is useful in my business. It has been such a great management tool for our small business and relaying information that is easily searchable when the project information is needed quickly!
Cons
What I like least about this software is that is can get confusing in the beginning and overwhelming of features. It does take some time to understand the functions of Podio and all that it can do. Once learned it is user friendly, but it is hard to get started!

Bring together your team for project management, at Podio
It is highly suggested to medium and large size business setup. It will benefit both business to business and business to customer type market. I have found it very unique in terms of project management.
Pros
Citrix Podio is a complete solution for carrying out the execution of the projects. It assists us from the beginning of the project planning till its end closing. We have boosted up our sales funnels and our pipeline never gets empty. This is because we are capable of delivering the quality content to our clients with the help of this tool, that allow us to add images in the project and provide us true guideline in managing our content.
Cons
I have felt a gap in its email feature which is not as effective as other market tools. Also for me its price is not so effective no doubt it balance its amazing features but still for those business who really need a back end for support might finds it costly.

Podio app space for beginners
I use Podio as the main frame for our internal communications software. We are branching out to 'share' items to both suppliers and clients that we mark apps and workspaces specifically without proprietary information. This way we can all communicate in a network without causing too much of an overlap in other softwares.
Pros
Javascript based easy calculations fields.
Relationship fields allow easy access to 'like' items that don't follow the same workflow.
Globiflow integrations opens up 'get' 'post' and'if this then that' features that cut down on tedious work.
Podio Super menu chrome extension is extremely helpful for entities with a lot of workspaces/apps.
Cons
Without extension you cannot mark several items in table format. You have to go into each individual item separately (or export to excel update and them import) which is a massive pain.

Podio
My overall experience is very positive. I would definitely recommend polio to anyone needing a CRM follow up system. It definitely increases long term conversion.
Pros
It was super easy to integrate contacts and begin utilizing all forms of initial AND follow up contact. They have multiple features to layout messages, formats, send timing, etc. Everything is easily trackable.
Cons
The software functions as intended for the service the company offers and or provides. The features operate consistent and in line with what other similar service provides offer.

This software has helped our teams to easily interact and work together.
Pros
The cloud-based application lets the organizations to communicate within the company or with another company for their requirements. It has helped us to collaboratively work using a single platform by sharing data such as business processes and project management reports, and through real time communication. Delegating and tracking the tasks has never been so easy! Using this software has improved our productivity and time management. We could build and maintain good relationships with the customer. The best thing about this software is that, it had given us the ability to control who can access the workspace environment, thus adding to the security feature. Since the files can be shared in one common place, multiple email threads and redundancy could be avoided.
Cons
This utility does not provide phone support, which is a huge drawback. The users are expected to always work from their desktop computer environment. The developers of this application are not always ready to change the application features of the tool. The option of printing out the shared pdf, directly, is not present in the current version of the application. The user interface of this application also needs to be updated, as some find it cumbersome to use. If you are checking out for some automation in workflows, you would be disappointed as there are none!

Not the BEST But Very Affordable
Real time tracking of sales and easy to calculate commissions
Pros
You can customize pretty much any field imaginable to build anything you want and need. It doesn't require you to fit everything into their box or what they say you need. Integrated with Zapier it is very powerful.
Cons
You can't search by email address (there are errors with any email that has more than 1 period which is almost a deal breaker. Reports can't be accessed in the app which is one of my primary uses. I have a workaround scripted in my phone, but I feel like you shouldn't have to be an expert to find what your sales are.

Daily user of podio (professionally)
We use this in IT for ticket registrations, inventory of all the hardware (PC, scanners, printers, ...). In Podio we also keep track of all the users in our organizations, which is then linked to their workstation( PC, screen, ...). Pretty useful to collaborate.
Pros
What I like most is the flexibility of the software. You can pretty much use this for everything (invoices, inventory, user management, etc). It's to be designed to your own desires. Also you can share with external organizations.
Cons
It's pretty expensive I heard, and there is quite a lot of slowness in podio (downtime). But mostly fixed very fast.

The entry level CMS
Optimal if your company is on a budget but wants to have an easy to use and rich software with many many features. Good starting point for any business, we used it for years without problem before switching to InfusionSoft
Pros
Podio is one of the best CMS around. it is basically cost free and allows entire team to manage complex dataset of costumers infos. Podio is highly customizable if you know how to write basic JS and that is perfect for nerds.
Cons
It is hard to manage large dataset. Batch edit is not that simple. If you need a more advanced solution it is not the best option

Best Ive Tried So Far!
Podio is my go to app for daily activities. Its feature rich and totally customizable. Some of the extensions are a bit pricey, for sure. But you also get what you pay for and it is definitely a solid platform. Ive used PODIO since before it was Citrix. Im a small company and I do entertain other FSM software from time to time... but I always continue to use PODIO if for nothing more than a backup. Its saved my ass a few times!
Pros
Flexibility, Functionality and Integration
Cons
Nothing so far. It has been my staple app for day to day work for several years!

Very interesting tool/platform
We use the software for internal, and some external, project tracking and collaboration with clients. I also use it to track leads and customers for sales and account management, mainly to track tasks and follow ups.
For the project tracking, each customer has their own workspace (something I'm still evaluating) so that client contacts can access their own information. We have built some custom apps to track details about the client and their software deployments, which is a great feature of Podio, and rather unique. We also store client files and documents within Podio so everyone can see them. We also use the mobile app, which is great to track when at a client site or if you don't have a laptop handy.
The whole concept of the app marketplace and building your own is pretty well executed.
Just starting to use some of the workflows, but so far they are useful.
Pros
Mobile app
accessible anywhere
app marketplace and app builder tool
ability to easily modify apps as needed
ability to relate across workspaces
external collaboration is great
can easily send email to lots of different areas to create a task, status update, etc
Cons
We use Office 365, so a tighter integration with that, similar to what they have with Google apps, would be great.
Enhanced workflow would be good
Response from Cloud Software Group
Thanks for your feedback – we'd love to hear more about what you'd benefit from in regards to a closer integration with Office 365. You can send us this info and we'll pass it on to our product team by creating a ticket here and marking it as 'Idea for Podio': https://help.podio.com/hc/en-us/requests/new
Great to hear about your experience so far on Podio. We have some exciting new features lined up I think you'll find valuable, so stay tuned!
